We are seeking to recruit an Administrative Assistant who will be responsible for the administrative support for the school holiday programmes that Catalyst oversees and the Food Power Network.

Salary: £17, 375 (pro rata)
Hours: 22.5 hours per week (3 Days per week)
Post term: Temporary until end of March 2022 (with possible extension)

The post holder will work closely with the Project Officer and the Strategic Programmes Manager (SPM) as well as other Catalyst staff/volunteers to co-ordinate interrelated project activity.

The Holiday Programmes and programmes of activity for young people during the school holidays. They are operated by a series of sub-contractors voluntary and community groups under contract to Catalyst. The administrative assistant duties will include ensuring that each of them has an accurate contract, that payments are made in accordance with the contract, and receiving and checking monitoring information. There will be day to day contact with colleagues in a large number of community groups, mainly by phone and e-mail.

The Food Power Network is a group of around 30 organisations which are committed to making nutritious food available to vulnerable households, at low or not cost. The food is typically provided by supermarkets rather than being disposed of. The Administrative Assistant will organise and take minutes of meetings, and work with the Project Officer to provide other support as needed.

Tasks & Responsibilities

Working with the holiday programmes:

  • · Check and assimilate information to monitor and evaluate outcomes and impact of the programme
  • · Set up Provider Panel meetings
  • · Set up meetings
  • · Issuing and monitoring contracts with SPM
  • · Follow up requests for information from providers as needed, to ensure that they meet deadlines
  • · Prepare agendas for meetings and prepare schedules
  • · Minute taking
  • · Attend relevant meetings with commissioners and others

Working with Food Power Network:

  • · Prepare agendas for meetings and prepare schedules
  • · Minute taking
  • · Attend relevant meetings with commissioners and others

Managing Self

  • Participate in regular supervision.
  • Attend all mandatory training.
  • Comply with all policies, procedures and protocols.
